"Cash" at Dealer Process
- This process is a bit of a misnomer, as it applies to cash or checks that a dealers collects from a customer, but need these funds to be picked up and returned to the "main office."
- This entire process has been revamped to work from the take payment line, instead of the quote/contract. This allows for greater flexibly and accuracy in reporting. It, also, allows for this process to be used for items sold via the Sales by Invoice process.
- Once a payment has been taken on a quote, the dealer can click the "I" icon to mark it as needing to be picked up, by clicking the "Pickup Payment" box. The payment amount will auto fill with that line amount and drivers will now see this item populated on their "Cash at Dealer" panel to pick up.
- The driver's pickup process has not changed, but there is a little more information available. You can now see items for the Sales by Invoice process (those only show an invoice #, not a product #) and the dealer name, amount, and payment type now show in the popover for ease of use.
- Two Payment Pickup Reports have been added for managing this process to (see Reports #1 below)
Cancel Contract
*FIX* Contracts Cancelled prior to accounting approving them for commissions were not always creating negative commission and cancellation fee records. Issue found and resolved.
Contracts/Pickups
- In Settings, you can set a default trip charge for each pickup type.
- When creating a pickup record, the system will grab the default amount from settings, but it allows you to override w/ another amount too.
- Trip Charge is now added to the Amount Due to give your Amount to Cancel -- Amount to Cancel will recaulate as you edit/change the amount due or trip charge, but you can overwrite it too.
Email Notifications
*FIX* Issue with email view button allowing a navigation change when user was already in a card window. System now checks to see if you are in a card window first and gives you the option to wait (while you finish what you were doing) or close it for you to proceed.
Quotes
*FIX* Issue with options with a color selection not always displaying the color correctly (many time displaying a large # instead) has been resolved. This occasionally carried over to Products and Contracts as well and this should be resolved in all of those locations too.
Reports
- *FIX* Completed Repo sort by driver/vendor was not sorting correctly. This was resolved.
- *NEW* Two new Payment Pickup Reports showing outstanding money to be collected by drivers (Open), or showing what has been collected by drivers (Closed). Functionality for marking the items has received by the office works just like sale commissions unpaid report.
- Applied Approved Discount has a number of new sorting options available. It can be sorted by Dealer, Product Name, Condition, Contract Date, Amount Available, and Amount Unused
- Report Categories can now be changed/defined by client. This can be done in Settings/Preferences/Misc - Report Categories. In Report Preferences, the column field is now a dropdown of 1-5 and there are now 5 columns on the report layout to make room for the reports we have planned to come in the next few months. Additionally, you can now see the difference between a category header and a report. You can only change columns on a category header.....and all the reports in that category will change columns with the header.
Category Header w/ column assignment:
Report Display Names (and no column assignments visible):
- A new Category of "Process Summaries" has been added and the new Open Pickups and Closed Pickups have been added to this category, along with the Repair Details Report.
- Open Pickups include any pickup request (pickup, repo, welfare check) that has either been made or approved and it will remain on this report until either the pickup is cancelled or completed.
- Closed Pickups will display any denied, cancelled, or completed pickups in the timeframe selected.
- Repair Details will show a repair in any status/stage in the timeframe selected.
- Open Pickups include any pickup request (pickup, repo, welfare check) that has either been made or approved and it will remain on this report until either the pickup is cancelled or completed.
- *NEW* Completed Repairs Report - this report is for managing the physical repair, not the full repair process. It is managing the details of the repairman physically going to the location to fix the building.
- *NEW* Awaiting Repairs Report- this report is for managing the physical repair, not the full repair process. It is managing the assignment of a repairman.
Vendors/Drivers
Both Vendor's Deliveries panel and the Driver Login layouts have been modified to display the repair # (when/if the record is for a repair). Also, the customer name (be it a customer or a lot) will now display correctly in both of these places too.
Vendors/Commissions
- Changes were made to the Commissions pushing to Vendor bills. The system will now push one vendor bill with individual commissions as line items for sales dealer commission unpaid. Also, the system now accounts for cancelled sales with negative commissions pushing to Quickbooks too.
- Active/Inactive status on vendor IDs from Dealer Management has been added in case the vendor changes at any point.
